How to Follow Up on a Quotation

Many quotations are lost simply because nobody followed up. A polite, well-timed reminder can turn silence into an order.

A simple schedule

  1. Same day: confirm that the customer received it.
  2. After 2โ€“3 days: ask if they have questions or need changes.
  3. Before the validity ends: remind them of the date.
  4. After a week or more: a final, friendly check-in.

What to say

Keep it short and helpful: mention the quotation number, offer to clarify anything, and suggest the next step. Avoid pressure. Adding something of value, such as an alternative option or a delivery slot, works better than just asking โ€œany update?โ€.

Track every quotation in a simple sheet with the number, customer, amount, date sent and status. Once you send many each month, billing software with quotation tracking can save time; see our billing software comparison.
